Connect Hostaway (PMS sync)

What this is

If you already run your properties on Hostaway, you can connect your Hostaway account to Bukavilla. Once connected, your Hostaway reservations and blocked dates flow into Bukavilla automatically, so a villa you manage in Hostaway stays correctly booked on Bukavilla without you touching two calendars.

Hostaway already pulls together your Airbnb, Booking.com, and VRBO calendars in one place. Connecting it to Bukavilla means Bukavilla reads availability from that single hub — you don't set up a separate iCal feed for each platform on a Hostaway villa.

Before you start

You'll need two things from your Hostaway account:

  • Account ID
  • API Key

Both are in Hostaway under Settings → Hostaway API (sometimes labelled "Public API"). You generate the key yourself — no approval step.

Testing it first? Ask Hostaway whether they can give you a demo or sandbox account for integration testing, so you're not paying for a full subscription just to try the connection.

How to connect

  1. In Bukavilla, go to Settings → Integrations → Property management (Hostaway).
  2. Paste your Account ID and API Key and connect.
  3. Bukavilla pulls your Hostaway listings and shows them in a list.
  4. Map each Hostaway listing to the matching Bukavilla villa. Only mapped villas sync — an unmapped Hostaway listing is left alone.

That's it. Bukavilla registers automatically to receive updates from Hostaway and does a first import of each mapped villa's reservations and blocked dates.

What syncs

  • Reservations — each Hostaway reservation appears as a booking on Bukavilla and blocks those dates on your calendar.
  • Blocked dates — owner blocks and dates closed in Hostaway come across as blocked on Bukavilla.

Updates arrive shortly after they happen in Hostaway, with a regular background re-check as a safety net so nothing is missed if a single update doesn't come through.

Hostaway becomes the source of truth

While a villa is connected to Hostaway, Hostaway is the single source of truth for that villa's calendar. To avoid double-counting, Bukavilla stops pulling that villa's availability from the other channels — the Chrome extension's Airbnb/Booking/VRBO sync and any per-platform iCal feeds are paused for it (Hostaway already includes them).

On your channel overview you'll see those rows marked as managed by Hostaway. This is expected — it means you have one clean source of truth, not several fighting each other.

Direct bookings flow back to Hostaway automatically

When you confirm a Bukavilla direct booking on a Hostaway-managed villa, Bukavilla now creates the matching reservation in Hostaway for you. Hostaway then closes those dates across the OTAs it feeds (Airbnb, Booking.com, VRBO), so a direct booking on Bukavilla protects the rest of your channels — no more blocking the dates in Hostaway by hand.

The pushed reservation appears in Hostaway tagged as a Direct booking, so you can tell your Bukavilla bookings apart from your OTA ones.

A few things worth knowing:

  • Cancellations carry across too. If you cancel that booking on Bukavilla, Bukavilla cancels the Hostaway reservation, which re-opens the dates on your other channels.
  • There's a short lag. The push runs in the background a moment after you confirm (or cancel), not the same instant — so allow a minute or two for Hostaway and the OTAs to catch up.
  • Reservations that came from Hostaway are never sent back. Only bookings that originate on Bukavilla are pushed, so a reservation imported from Hostaway can't loop around and duplicate itself.

Pricing stays yours

Connecting Hostaway does not change your prices. Bukavilla keeps showing your own Bukavilla price — typically your best, direct-booking rate — and never imports or pushes Hostaway/OTA pricing. You stay in control of what guests pay when they book direct.

If the connection stops syncing

If your connection goes quiet — an expired or changed API key, for example — Bukavilla notices, flags the connection, and emails you so you can reconnect. Your calendar could be out of date until you do, so reconnect promptly.

Your bookings stay protected in the meantime: checkout never assumes a date is free just because a sync is behind. The worst case is a date that's actually open looking unavailable for a short while — never the other way around.

Disconnecting

You can disconnect Hostaway anytime from the same Integrations screen. When you do:

  • Reservations and blocked dates already imported from Hostaway stay on your calendar (removing them could re-open dates that are actually sold).
  • The villa goes back to syncing through iCal and the Chrome extension as before.

Reconnecting later picks things back up with a fresh import.

Common questions

  • "Do I still need iCal or the extension for a Hostaway villa?" — No. While it's connected, Hostaway covers it. Keep iCal/extension for villas you don't run through Hostaway.
  • "I connected but a listing isn't syncing." — Check it's mapped. Only mapped Hostaway listings sync.
  • "Will my Bukavilla direct bookings show up in Hostaway?" — Yes. A direct booking you confirm on a Hostaway-managed villa is created in Hostaway automatically (tagged as a Direct booking), and a cancellation is sent across too. Allow a minute or two for it to appear — see the section above.
  • "Does this change my prices?" — No. Your Bukavilla price is untouched.
  • "I use Guesty / another PMS, not Hostaway." — Hostaway is the first PMS we support. Others are planned — let us know which one you use so we can prioritise.
